Just a quick post to let you know that the issue about permissions lost during copy operations, which I talked about previously,  has been bypassed.

As I told you, we have here the workflow extension module installed. And once I received a version updated to be 9.7.1 compatible, I designed a workflow that simply copy a folder in a livelink other folder. Remember that you have an option with WF extension where you can choose to keep source permissions.

Now, I will improve the Workflow to automatically name the copy folder following attributes set by WF initiator. It’s another possibility given by workflow extension module.

I want to expose here one of my biggest frustration in Livelink.
Let’s first start by explaining to you how I came to it.

We use Livelink to store or products related documents. For example conception files, security datasheet etc…
So the development director did a template architecture composed of various folders and subfolders in order to duplicate it at each product creation.

Each subfolder got its own permissions. So permissions in subfolders could be differents.

The problem is that when you copy in Livelink, permission are always set as the permission of the target folder. I mean the folder in which you copy your template. So sub folder permissions are deleted.
For categories you can choose to keep source categories or to get target categories. Too bad it is not the case for permissions :

I asked to an opentext consultant just to be sure that it was not possible that way and he confirmed.

So let’s talk about solutions.
Of course you can have a custom module bringing the feature. It will cost you an arm and a heart… Just kidding, the fact is that it is not always easy to update at each livelink new version.

We have here a GS France Opentext developed module called Livelink WorkFlow extension. This module got a lot of interesting features such as custom scripts to merge form & WF attributes, etc.. etc..I wish I will have time to go further on it later. But for our permissions case WF extension add an interesting option in the item handler :

Yes ! here you can specify in the copy tab if permissions are inherited from target folder OR if original permissions are kept.
Then, you only have to build a quick copy WF initiated.

Well, in theory that’s the deal. I didn’t test it yet cause my Workflow Extension version is not up to date and in conflict with livelink 9.7.1
I’ll update this post when ok.

Of course, if you have another solution, I will be more than welcome to have it written here…

We have here version 9.7.1 with eSign (electronic signing) 2.7.1, Forms web & pdf 9.7.1, WebReports 4.1.1 and custom modules impacting essentially esign.

I plan to speak here about Livelink.. obviously.

Could be great to talk about features, perspective of evolution, errors and way to solve it. I do not want to talk about ECM in general, cause there is people that do it very well and to be honest, I do not have a lot to say about it. But I have a lot to share about Livelink with an “operational” view as I use it daily.
